Aroha Connect does not vet anybody, does not run independent background checks, and does not decide who is fit for work. It narrows a stack of applications down to the ones with complete, in-date documentation. A person on your team still reviews and approves each one.

A candidate registers themselves — details, then the documents your checks require — in one continuous flow, rather than a form followed by a separate email exchange to collect whatever was missing.

Documents are uploaded once and held centrally, visible to the organisations that need them. Nobody is forwarding a certificate as an email attachment, and nobody is searching an inbox for the version somebody sent six months ago.
Who can see a document, and for how long
A document is visible to the organisations the person is registered with, for the purpose of confirming they meet what a shift requires. It is not a public profile and it is not shared with other workers. Retention and access rules are set with you during onboarding rather than assumed — if you have specific requirements, and health and education providers usually do, raise them in a demo so they can be answered against your policy rather than in general terms.

Your team sets which documents are required, which registrations must be current, and which certificates apply. The same platform holds different check sets for different industries, using the terms specific to each.

These are examples, not a fixed list. The requirement set is editable, so an organisation with a check nobody else runs can add it rather than working around its absence.
After approval
Approval is the start of the tracking, not the end
Once someone is active, the platform keeps watching expiry dates. It alerts before something lapses, and if it lapses anyway, that person no longer appears as available for new bookings until it is renewed.
Documents current
Appears in the shortlist for shifts that require it.
Document lapsed
Removed from new bookings until it is renewed. Nobody has to notice.
Coming off the list is a pause, not a rejection
Nobody is removed from your pool for letting a certificate lapse. They stop appearing as available for the shifts that specifically require it. Renewing the document restores their availability immediately, with no re-registration and no re-approval.
